This Privacy Policy explains how Sponsorship Effectiveness Forum ("SEF", "we", "us", "our") collects, uses, and shares personal data when you visit sponsorshipeffectiveness.forum (the "Website"), sign up to our newsletter, download our publications, or contact us.
If you have any questions about this policy or how we use personal data, contact us at info@sponsorshipeffectiveness.forum.
1. Who we are
SEF is an independent cross-industry initiative.
Controller: Rory Natkiel, acting on behalf of the Sponsorship Effectiveness Forum (SEF).
SEF currently has no registered address for publication.
2. What personal data we collect
- Contact details you provide, such as first name, last name, email address, company name, company type, position, and any information you include in a message.
- Newsletter and download form data, including subscription preferences and consent where requested.
- Website usage data, such as pages viewed, approximate location, device and browser information, referral source, and interactions with the Website. We only collect this through analytics cookies if you accept them.
We do not intentionally collect special category data (for example health information) and we ask that you do not provide it via Website forms.
3. How we use your personal data
- provide the Website and keep it working securely
- respond to enquiries and messages
- deliver newsletters and updates when you subscribe
- provide downloads and event information when you request them
- understand how the Website is used and improve its content, if you accept analytics cookies
- manage and maintain contact records
4. Legal bases for processing (UK and EU GDPR)
- Consent: sending marketing emails, and setting analytics cookies.
- Legitimate interests: operating and securing the Website, responding to enquiries, and understanding who downloads our publications.
- Contract or steps prior to contract: when you request something we provide.
- Legal obligation: where we must keep certain records.
You can withdraw consent at any time. This will not affect the lawfulness of processing before withdrawal.
5. Email communications and unsubscribing
If you subscribe to receive newsletters or updates, you can unsubscribe at any time using the link in our emails. You can also request removal by emailing info@sponsorshipeffectiveness.forum.
6. Cookies and analytics
We use Google Analytics to understand how the Website is used. It runs in Consent Mode: no analytics cookies are set unless you click Accept on the cookie banner. If you reject, or make no choice, Google Analytics stores nothing on your device. You can change your choice at any time with the Cookie settings link at the foot of every page.
We store your cookie choice in your browser's local storage so we don't ask again on every page. The Website sets no other cookies.
7. Service providers
We do not sell personal data. We share it only with the providers that run the Website and our communications, and only the data each needs:
- Cloudflare hosts and serves the Website and processes standard technical data, such as IP addresses, to deliver pages and protect the site from abuse.
- Formspree receives the contact and download forms and delivers them to us by email.
- HubSpot holds our newsletter mailing list and sends our emails. If you sign up, or tick the newsletter box on another form, your name, email address and company are stored in HubSpot.
- Google provides Google Analytics, only if you accept analytics cookies.
We may also share personal data with professional advisers (for example legal or accounting) when necessary, and with authorities or regulators where required by law.
8. International transfers
Some of these providers store or process data outside the UK and EEA, including in the United States. Where personal data is transferred internationally, we rely on the safeguards required by data protection law, such as the UK International Data Transfer Addendum and the EU Standard Contractual Clauses.
9. Data retention
- enquiry and download records are kept for as long as we need them to respond and maintain continuity
- newsletter subscription records are kept until you unsubscribe, and for a reasonable period afterwards to maintain suppression lists
- analytics data is kept for no longer than 14 months
10. Security
We take reasonable steps to protect personal data. However, no method of transmission or storage is completely secure. If you believe your data has been compromised, contact info@sponsorshipeffectiveness.forum.
11. Your rights
Depending on your location, you may have rights to:
- access personal data
- correct inaccurate personal data
- delete personal data
- restrict or object to processing
- data portability
- withdraw consent (where processing is based on consent)
- complain to a supervisory authority (in the UK, the Information Commissioner's Office)
To exercise these rights, email info@sponsorshipeffectiveness.forum. We may ask for information to verify your identity.
12. Children
The Website is not intended for children and we do not knowingly collect personal data from children.
